About the Role:
We are looking for an experienced and highly organized Executive Assistant who thrives in a fast-paced, dynamic environment. As an Executive Assistant, you will serve as the primary bridge between the leadership team and clients, providing strategic administrative support to ensure smooth operations. You'll be a key player in delivering exceptional support, managing multiple priorities, and helping clients achieve their goals with ease.
Key Responsibilities:
Provide top-tier executive support, task management, and project management to multiple clients.
Attend and document weekly planning and accountability calls to ensure progress toward goals.
Manage diverse tasks and deadlines across multiple clients, maintaining a high level of organization and prioritization.
Build and maintain long-term, trusting relationships with clients, acting as a key resource and support asset.
Proactively identify opportunities to streamline processes and delegate tasks effectively using a structured methodology.
Support clients in staying focused on key business initiatives, helping them stay organized and aligned with their goals.
Manage workflows and ensure tasks are completed in alignment with each client's unique needs and priorities.
Create and maintain systems for email management, scheduling, project management, action plans, and their ongoing progression.
Oversee client time usage and ensure that deliverables meet expectations.
Represent the organization professionally, aligning with company values and mission.
Continuously enhance job knowledge through team-building activities and ongoing industry education.
Collaborate effectively within teams and be available during normal business hours.

Experience with administrative writing, scheduling, and organizing complex calendars.
Knowledge of travel logistics and planning.
Ability to learn quickly and follow complex instructions with accuracy.
Comfortable in a virtual work environment, with prior experience working remotely.
Strong relationship management skills, particularly in building and maintaining long-term client relationships.
Proficiency with Microsoft Office/365, Google Workspace, and video conferencing platforms like Zoom and Teams.
Must have a personal computer with antivirus software and a reliable high-speed internet connection.
Availability during business hours (Monday to Friday, 9 am - 5 pm ET).
