Role reports to: Business Unit Manager
Location: Las Piedras, PR
Travel %: 10%
What you will do Coordinates all the activities that involve E2E phase of the warehouse, supervise the receipt, shipping, transfer, distribution and storage and control of materials, products and equipment. Ensure follows the established procedures for import and export regulations. Assures the distribution of finished goods inventory for shipment to distribution centers, and of bulk transfers to affiliates and subcontractors to meet the established schedules. Maintains documents that are generated from his/her department area updated, to comply with cGMPs regulations. Ensure external warehouse comply with company policy and procedure, and weekly plans. Maintains the inbound receipts claims process from the initial reporting up and through to the resolution of each case. Assure proper maintenance of warehouse facility. This position is considered sensitive for safety reasons because it includes job responsibilities that may impact the health and safety of the employee, co-workers and/or the general public, or may result in significant property damage if performed under the influence of alcohol and/or drugs.
Key Responsibilities Under limited supervision and in accordance with all applicable federal, state and local laws/regulations, and the company's policies, procedures and guidelines, this position: 1. Ensures quality and compliance in all actions:

• Ensures employees under the scope of responsibility are trained in required procedures for the execution of their role and maintains current with training requirements during the year.

• Seeks prompt identification, reporting and correction of deviations in the workplace as noted by employees.
2. Assures job descriptions are discussed with employees within the first fourteen days of hiring, when the job descriptions have been revised or as needed.
3. Assures trainings in the assigned curricula have been completed prior to execution.
4. Acts in accordance with current business conduct principles in all negotiations and activities within and outside the company and assures these are met. Environmental, Health and Safety (EHS): Comply with the requirements established in the Environmental Health and Safety (EHS) Program and the ISO 14001 Standard, including:
1. Complies with EHS trainings, policies and procedures.
2. Maintains a safe area and work environment by following and encouraging the following rules and procedures: • Use of the personal protection equipment • Fire protection • Spill reporting (includes hazardous waste), incidents and/or "near misses" • Environmental compliance with permits and action plans (applies to supervisors and managers) • Complies with specific EHS program requirements (i.e, forklift operations, Ergonomics Program, LockOut/TagOut, and Process Safety Management) as applicable.
3. Generates, encourages and assists peers/employees in EHS involvement in all changes that affect safety and environmental (applies to exempts, supervisors and managers).
4. Generates metrics and verifies employees' participation in all EHS initiatives and requirements. (applies to supervisors).
5. Promotes employee participation in the activities and requirements of the site's Environmental Management System (ISO 14001), Process Safety Management and other initiatives in the EHS program (applies to management level).
6. Participates in the site's waste reduction and recycling program.
7. Participates in energy reduction and other initiatives to protect and promote environmental protection.
8. Guarantees his/her behavior is safe in the work area.
9. Actively participates to achieve the organization's EHS goals/objectives.
10. Monitors the EHS performance within the work area (applies to supervisors and managers).
11. Adheres to the EHS business plan for the work area.
12. Notifies and/or initiates corrective action plans for unsafe working conditions or risks in the work area.
13. Immediately notifies the supervisor of any incident or accident that occurs in the company, including injury and/or occupational illness. The supervisor/manager submits an Incident Report within 24 hours of the accident.
14. Actively participates in the Ergonomic Exercise Program of the work area.
15. Provides the necessary resources and assures to complete on time any safety related matter (applies to supervisors and managers).
Area Responsibilities: 1. Plan internal and external warehouse for operational efficiency and capacity.
2. Organize transportation activities, storage, transportation movement and delivery.
3. Coordinate outbound through logistic process.
4. Execute operations plans to move FG products from E2E on schedule.
5. Maintain quality and compliance throughout the logistic processes.
6. Maintain the PIV, racks safety and safety equipments of all employees throughout the warehouse processes. 7. Coordinates tasks and activities that involve every phase of the receipt, shipping, transfer, distribution and storage of materials, products and equipment, to ensure such are in compliance with the established specifications and import and export regulations.
8. Maintains the inbound receipts claims process from the initial reporting up and through to the resolution of each case.
9. Ensures work from his/her respective area is carried out, following the receipt schedule of materials, the cGMPs and company procedures to ensure compliance thereof.
10. Recruits, employs, evaluates, supervises, takes disciplinary action, develops and rewards employees that are under his/her responsibility.
11. Develops, implements and monitors the procedures, specifications and policies relating to the cGMPs, Safety, Equal Employment Opportunities and other regulatory areas, to comply with all requirements, as applicable.
12. Ensures that all reports and documentation of his/her respective department are generated in a timely manner, and in compliance with the established procedures and applicable laws.
13. Assures the distribution of finished goods inventory for shipment to distribution centers, and of bulk transfers to affiliates and subcontractors to meet the established schedules.
14. Participates actively in at least one (1) work committee of the company.
15. Maintains operational procedures of his/her department area updated and ensures compliance of such. 16. Maintains documents that are generated from his/her department area updated, to comply with cGMPs regulations.
17. Directs meetings of respective work group, to ensure the discussion and proper communication of all relevant aspects of the business.
18. Conducts meetings with group leaders to coordinate works strategies for the work shift.
19. Trains and/or coordinates the required training for personnel under his/her responsibility.
20. Assists the Manager to prepare, manage and control the budget of his/her department area.
21. Maintains information relevant to the Warehouse department for metrics and related trends.
22. Ensures the establishment, implementation, monitoring and maintenance of the environmental management system to avoid increase in non-hazardous and hazardous waste generation.
23. Complies with the environmental objectives and target and promotes and encourages employees to achieve these objectives and targets.
24. Promotes and encourages employees to have commitment and alignment to the organization's environmental policies to avoid increase in non-hazardous and hazardous waste generation.
25. Assures compliance with applicable legal requirements.
26. Ensures compliance with the ISO14001 standards by reviewing the warehouse operations.
What we are looking for Required Qualifications
- Education: A Bachelor's degree is required; Commercial or Business Administration is preferred.
- Experience: At least five (5) years of experience in a GMP's regulated industry, is required.
- Experience in inventory control and Enterprise System, is preferred.
- A minimum of three (3) years of experience working as a supervisor or leader, is required. Strong knowledge in quality and compliance systems, is required.
- Experience leading process improvement projects: including but not limited to ownership of change controls, Standard Operating Procedures, JJPS, preferred.
- Knowledge in Enterprise System SAP, Inventory System and Transaction, is required. Physical Demands: Sedentary work that requires minimum physical effort. It also requires communication skills, eye-hand coordination, and the ability to move.
- Knowledge, Skills and Abilities: Bilingual (English/Spanish-oral and written).
- Knowledge of cGMPs and other applicable regulations from the pharmaceutical industry. Computer literate. Good writing and verbal skills.
- Certifications/Licenses: N/A. Leadership: Incumbent should demonstrate solid competencies on the current values and behaviors to effectively contribute to the transformation of the scope of work. Other Requirements: Able to travel in and outside of Puerto Rico. Able to work extra hours, support other shifts and to respond to emergency calls that require returning to the company after regular working hours of the business. Able to support other departments or projects according to business needs.
Other Dimensions: • Work Environment and Conditions: Work is performed in the interior of a building under normal temperature, air conditioning, good lighting, clean areas, and minimum risks. Occasionally works at the exterior of the building performing inspections and attending to other external business matters. Also, may be exposed to environmental conditions while working at the exterior of the building.
• Tools, Equipment, Machines, Materials: Use of a computer, printer, calculator, manuals, forms, programs, phone and other general office materials. Also, personal safety equipment such as: safety shoes, safety gloves and eyeglasses, among others, as required.
